HubSpot Connection

The HubSpot connection lets you exchange data between BlueConic and HubSpot. You can import and export profiles and groups, in real-time and in batch. Data can be synced with HubSpot Contacts, and also with other HubSpot objects such as Companies, Deals, Leads, Orders, Products, Subscriptions, and custom objects.

CRM data in BlueConic is prime material for segmentation and personalization. BlueConic captures data at the customer level for known and anonymous users. For known users, having this data in your CRM arms your call center and other communication platforms with relevant details about your customers' explicit and implicit intents. Syncing Deals, Companies, and similar objects (and BlueConic groups) keeps account- and order-level data aligned as well.


Before you begin

  • You need admin access in HubSpot to authorize the connection and grant permissions.

  • Decide which HubSpot object types you plan to sync (Contacts, Companies, Deals, Leads, Orders, Products, Subscriptions, or a custom object). HubSpot only prompts you to grant access to Contacts by default; you can add other objects later, but doing so requires reconnecting to accept the additional permissions.

  • If you already have a HubSpot connection that syncs Contacts only, it keeps working without any changes. You only need to revisit authentication if you want to sync an additional object type.

  • Custom objects must already exist in your HubSpot portal. BlueConic can't create a HubSpot object for you; it only reads what's available and authorized.


Create a HubSpot Connection

  1. Click Connections in the BlueConic navigation bar.

  2. Click Add Connection.

  3. A pop-up window appears. Enter "HubSpot" in the Search bar.

  4. Click HubSpot Connection.

    The HubSpot Connection page opens. You can expand or collapse the metadata fields (favorite, labels, and description) by clicking the gray chevron at the top of the page.

  5. Enter a name for the connection at the top of the page.

  6. Click Save.


Configure the HubSpot Connection

  1. Click Set up in the Setup section in the left panel.

  2. In the Authentication step, click the Connect with HubSpot button to start the authentication flow. Enter your HubSpot credentials to authorize the connection.

Object permissions

  • HubSpot asks for permission to access Contacts by default. Additional object permissions (Companies, Deals, Leads, Orders, Products, Subscriptions, and custom objects) are requested as optional.

  • Existing connections that only use Contacts keep working without reconnecting.

  • To sync a HubSpot object other than Contacts later, click Connect with HubSpot again and accept the additional scopes.

  • The object-type list only shows objects your HubSpot account has granted to this connection and that are available in your HubSpot portal.

If an object's fields won't load

BlueConic shows:

BlueConic couldn't load the fields for "[object]". This object may not be available in your HubSpot portal, or the connection may not have access to it. Select a different object, or enable this object in HubSpot and reconnect.


Import profiles (real-time)

In the left-hand panel, click Add goal and choose Import profiles (real-time), then follow the steps in the goal. This goal imports data from HubSpot Contacts into BlueConic profiles when a selected profile property changes.

  1. Select a BlueConic segment. Only profiles in the selected segment can trigger a HubSpot data import.

  2. Select one or more BlueConic profile properties as triggers. Only changes to these properties trigger an import for that profile.

  3. (Optional) Add data processors to transform or filter the HubSpot data before it is written to the profile. This step is shown only if data processors are installed in your tenant. Fields exposed by a processor can be mapped in the next steps.

  4. Link identifiers between HubSpot and BlueConic (Email, HubSpot ID, or HubSpot cookie ID). Only profiles with a value for at least one linked identifier can be enriched.

  5. Map HubSpot contact fields to BlueConic profile properties.

  6. Click Save.


Import profiles (batch)

In the left-hand panel, click Add goal and choose Import profiles (batch).

On the first run, all records of the selected HubSpot object are imported. Later runs import only records that changed in HubSpot since the last run (unless you change the goal settings).

  1. Select the HubSpot object type to import from (for example Contacts, Deals, or a custom object).

  2. (Optional) Add data processors to transform or filter the HubSpot data before it is imported. This step is shown only if data processors are installed. Processor fields become available in the mapping.

  3. Link identifiers between HubSpot and BlueConic.

  4. Click Save.

For Contacts, you can match on Email, HubSpot ID, or HubSpot cookie ID.

For other objects (Deals, Orders, Subscriptions, and similar), you can match on:

  • the HubSpot record ID

  • any unique property of that object

  • Associated contact – Email or Associated contact – HubSpot ID — to land the record on the BlueConic profile of the object's primary associated HubSpot contact. Records without an associated contact are skipped.

Only profiles that have a value for at least one selected identifier can be enriched. You can also choose whether to create new BlueConic profiles when no match is found.

  1. Map HubSpot fields to BlueConic profile properties. Click Add mapping for additional mappings. For each mapping, select how incoming values should be handled: Set, Set if empty, Add, Sum.

  2. (Optional) Map HubSpot data to BlueConic timeline events. A timeline event is created for each imported record. This step is shown only if timeline event types exist in your tenant.


Import groups (batch)

To import HubSpot objects into BlueConic groups (for example households, accounts, or companies), click Add goal and choose Import groups (batch). This option is available once you have set up a BlueConic group type. See BlueConic groups. On the first run, all records of the selected HubSpot object are imported. Later runs import only records that changed in HubSpot since the last run (unless you change the goal settings). Timeline events are not supported on group import.

  1. Select the BlueConic group type to import into.

  2. Select the HubSpot object type to import from (Contacts, Companies, Deals, custom objects, and so on).

  3. (Optional) Add data Processors to transform or filter the HubSpot data before it is imported into groups. This step is shown only if data processors are installed.

  4. Link identifiers between HubSpot and BlueConic. Link a HubSpot identifier (HubSpot ID or a unique property) to the BlueConic group identifier. New groups are created when no match is found.

  5. Map HubSpot fields to BlueConic group properties.

  6. Click Save.


Export profiles (real-time)

To send BlueConic profile data to HubSpot in real time, click Add goal and choose Export profiles (real-time).

  1. Select the HubSpot object type to export to (for example Contacts, Deals, or a custom object).

  2. Select a BlueConic segment. Only profiles in that segment can trigger an export.

  3. Select one or more BlueConic profile properties as triggers. Only changes to these properties trigger an export for that profile.

  4. (Optional) Add data processors to transform or filter profile data before it is exported. Processor output fields can be mapped to HubSpot properties. A processor can also filter a profile out, which skips the export. This runs on every trigger, so heavyweight processors can add latency. The step is shown only if data processors are installed.

  5. Link identifiers between BlueConic and HubSpot.

  6. Optionally enable Create new HubSpot contacts when no match is found. When this is off, only existing HubSpot records are updated. Matching on HubSpot ID always updates existing records only; to create new records, match on a writable unique property (for Contacts, typically email).

  7. Map BlueConic data to HubSpot fields. Click Add mapping or Add multiple mappings.

  8. Click Save.

Note: For Contacts, you can match on Email or HubSpot ID. Matching on HubSpot cookie ID is not supported for real-time export; use email or HubSpot ID instead. For other objects, match on the HubSpot record ID or any unique (writable) property of that object. BlueConic profiles without a value for the identifier are not exported.


Export profiles (batch)

Click Add goal and choose Export profiles (batch).

  1. Select the HubSpot object type to export to.

  2. Select a BlueConic segment. Only profiles in that segment are exported. Optionally enable Export all profiles (including unchanged profiles) to export all matching profiles, even if no profile data has changed. This is useful with associated segments or when the segment uses a relative date filter.

  3. (Optional) Add data processors to transform or filter data before export. Processor fields can be mapped to HubSpot properties. The step is shown only if data processors are installed.

  4. Link identifiers between BlueConic and HubSpot, as for real-time export. When matching on HubSpot ID, only existing records are updated and no new records are created. For other identifiers, new records can be created when no match is found (unless you disable Create new HubSpot contacts when no match is found). Profiles without a value for the identifier are not exported.

  5. Map BlueConic data to HubSpot fields.

HubSpot-managed read-only unique properties (for example Unique creation key) cannot be used as an upsert key and are not offered in the matching dropdown. To create new non-contact records, create a custom unique (writable) property in HubSpot and match on that.


Export groups (batch)

To export BlueConic groups to HubSpot, click Add goal and choose Export groups (batch). Each group is created or updated as a record of the selected HubSpot object type. Data processors are not available on this goal.

  1. Select the BlueConic group type to export.

  2. Select the HubSpot object type to export to.

  3. Link identifiers between BlueConic groups and HubSpot. Link the group identifier or a group property to a HubSpot identifier (HubSpot ID or a unique property). Optionally enable Create new HubSpot records when no match is found. Matching on HubSpot ID only updates existing records; to create new records, match on a writable unique property. Groups without a value for the identifier are not exported.

  4. Map BlueConic group data (group properties, group ID, or a text value) to HubSpot fields.

  5. (Optional, shown when exporting to an object other than Contacts) Associate each exported record with a HubSpot contact. Enable Associate exported HubSpot records with a HubSpot contact, then select the BlueConic group property that holds the contact identifier and how it identifies the contact (Email, HubSpot ID, or another unique contact property). Records whose contact cannot be found are still exported, but without an association. The run log reports how many records were associated vs. skipped.

If HubSpot rejects some records in a batch (for example when matching on a HubSpot ID that does not exist), the run log shows how many records were accepted vs. rejected, and the run fails with the first rejection reason.


Run the connection

  1. Save your settings and switch the Connection to ON.

  2. Go to the Set up and run tab to schedule the connection or to run it manually. Scheduling applies to batch profile and group goals. Real-time goals run when a trigger property changes for a profile in the selected segment.

Data exchange

Once the connection has run, this shows the total number of unique profiles that have been imported and exported via the connection.

Note: These counts show unique profiles, so if the same profile is exported multiple times, it is counted as 1.To make the connection work, add at least one import or export goal, save your settings, and switch the connection on. In each goal you specify how BlueConic data should be linked and mapped to HubSpot.


Use HubSpot Connections in BlueConic Lifecycles

You can add HubSpot profile export goals (real-time and batch) as touchpoints in BlueConic Lifecycles. Group import and export goals cannot be used as lifecycle touchpoints.

  • Exporting Lifecycle stage information to HubSpot: When a HubSpot export goal is added as a marketing touchpoint to a Lifecycle stage, you can send profiles that attain that stage and use this information for targeted emails, or to create audiences outside BlueConic.

  • Setting Lifecycle stage restrictions: Placing a HubSpot connection goal in a lifecycle stage restricts that goal to profiles currently in that stage.

  • Setting thresholds on marketing touchpoints: HubSpot connection goals are excluded from the lifecycle stage threshold count, as shown by the blue infinity symbol in the list of lifecycle touchpoints.

FAQ

Do my existing HubSpot connections still work?

  • Yes. Connections that already import or export HubSpot Contacts keep working without any changes. They default to the Contacts object until you select a different object.

Why don't I see my custom object's fields right away?

  • Custom object names and IDs are specific to each HubSpot portal. BlueConic loads them automatically when you configure the goal.

Can I import Deals, Companies, or other objects in real time?

  • Not yet. Real-time import remains Contacts-only. Use Import profiles (batch) to import Deals, Companies, and other objects.

Why can't I match on HubSpot cookie ID for real-time export?

  • Real-time export doesn't support matching on HubSpot cookie ID. Use email or HubSpot ID instead.

Can I use data processors on group exports?

  • No. The Export groups (batch) goal does not support data processors.

Can I map HubSpot data to timeline events when importing groups?

  • No. Group import does not support timeline events.
